Hybrid 11/1/25 Meeting Notes
Notes:

1. Called to Order @ 6pm
2. Previous meeting minutes are not available (will be addressed in a future meeting)
3. In attendance: Tryggr, Gus, Frederick B, Fiona, Cassandra, Nika, Carrick, Temperance—in person; Master Frederick–online

Reports:
Seneschal—Temperance (exp 1/2026)
a. Open offices: Arts & Sciences, Chronicler, Chatelaine
b. We will plan a future Shire opportunity to inventory the shed.
c. The 12th Night decoration team in Blatha an Oir is looking for Shire banners to decorate the hall. Their theme is heritage and legacy. We will offer a couple of banners. One of the old ones and one of the new silk ones.
d. We voted to end the hold on funds for updating signs; it will drop off of old business.
e. We will let Fahim decide whether he wants to work with Adiantum’s offered deputy seneschal. In general, we have no objections to the help; we just don’t want it to prevent the training of local deputy seneschals. We would have the expectation that the deputy would attend meetings virtually and at least one of our official events. Developing job descriptions for all our jobs is a good idea. A question was raised about whether the individual would be allowed to vote; to alleviate any concerns, we thought that individual should not be a voting participant in the Shire.
f. Encouraged people to attend the Shire of Southmarch’s Frostbite event at Midland Community Hall from 10am to 6pm. It’s a potluck feast with their shire providing chicken. They will have rapier, bardic and heavy championships.
g. Yule is in the works. René is the event stewart and will get information out to us soon.
h. Carrick volunteered to event steward All Fools. The reserved weekend is April 3-5th. A $400 budget was approved.
i. Discussed that the Shire is responsible for Fall Coronet September 18-20th 2026. We need to begin to get a team working on this to find location and file paperwork. We need an event steward to wrangle the team.
j. Shire social days/business meetings:
i. January: Skip January
ii. February: Saturday, 2/7
iii. March: Saturday 3/7
iv. April: All Fools on 4/4
v. May: Saturday, 5/2
vi. Madras Mayfaire traditionally has happened the weekend of May Crown (May Crown 5/15-17; Egils 5/18-31). It was discussed that we might not want to do both the Madras Mayfaire and the Beaver State Comicon (May 30 or 31 Beaver State Comicon). We would probably choose Madras to the the community service aspect of the event.
vii. June 13th in a park

Deputy Seneschal—Fahim (exp3/2026)
a.

b. Fiona has volunteered to be Carrick’s deputy. She is getting her membership paid tonight.

Archery—Tryggr (exp 3/2026)
a. Archery season ended on Friday. Today marks the beginning of then new season. The time change means it will be dark before 5 (sunset is 4:51 this Wednesday). So, practice is on hold until the day lengthens.

Arts & Sciences—(Open)

Herald—Nika (exp 5/1/2026)
a. 3 submissions are in process for names and devices: 2 locals and one person in Mexico

Social Media/Webminister—Gus (exp 5/2026)
a. Still looking for a deputy to eventually take the office at the end of term. Interest parties should reach out.
b. The duties include the following platforms: Discord, Facebook (x2), Shire official website, and Google calendar

Chatelaine—(Open)

Old Business
a. Shire decided to wait on getting the new gate popup (budget of $200 previously approved)
b. Customaries (Temperance is working on them); once an initial draft is done, a committee will review, another edit will happen, then the Shire will be asked to read and review before a final draft is completed and sent to Kingdom. Hope to have this done by the new year.
c. Gold Key can become a project day focus
d. Regalia review (Tabled until customaries are reviewed)
e. Duana original Corvarian baldrics. Should we create a reliquary for important historical artifacts? This can be tabled and discussed with Regalia review.
f. Also want to create tablecloth for gate. This can be a focus of some future project day.
g. Regalia review/repair may be a future project day focus. What to do with the Defender’s shield, the flagpole, etc. Do we want to donate the quiver that is Corvarian to the Principality?

For the Good of the Order
a. The Tanist and ban-Tanist love puppetry and are interested in giving puppets for largesse
b. Master Frederick is working on a medallion for the Kingdom and wanted to know if we, as a Shire, wanted it to be from us. He is not looking for any financial support and just wanted to share the word fame. We decided claiming him as a citizen of the Shire is fame enough for us.
